Job Title : Assistant Purchasing Coordinator (Part-time temporary position)
Salary : $20 / hr.
About the Position
The A ssistant Purchasing Coordinator is responsible for assisting with procurement of judicial resources, reviewing and receipting invoices, documenting payment of invoices, creating requisitions and payment requests, monitoring purchase order balances, approving and placing purchase orders, and filing documentation.
General Responsibilities : Purchasing
- Contact vendors for any item discrepancies.
- Maintain and update the libraries for physical law books and on-line legal resource subscriptions.
- Place orders for office supplies (i.e. copier paper, court reporter supplies, signs, rubber stamps, picture hangings, judges ID badges, letterhead, envelopes, business cards, printed court forms, law books, subscriptions, leased equipment;
and any other services and / or supplies).
- Research and prepare summary reports on purchasing expenses as necessary.
- Organization and maintenance of the supply room.
- Other duties as assigned.
Accounts Payable
- Notate invoices in excel spreadsheets for the Courts, and other miscellaneous accounts.
- Maintain, review and approve invoices in the Audit Invoice (AIR) Open Text System.
- Contact Auditor’s Office and work with accounts payable representative when needed to resolve invoice issues and / or problems.
Minimum Qualifications :
- High School Diploma or accredited GED
- Proficiency with Microsoft Office applications
Work Schedule
20 hours per week; specific schedule TBD Monday through Friday, 8 : 00 a.m. - 5 : 00 p.m.
