Job Title : Administrative Assistant

Employment Type : Contract

Work Hours : 37.5 hrs. / week

Work site : 100% Onsite

Location : One Commerce Plaza, Albany, NY, 12257

Job Duration : 2 Years

Minimum Candidate Qualifications :

a. Three-years' experience working directly for a person in an executive position as an administrative assistant.

b. Eligible to work in New York State experience.

Duties include, but are not limited to, the following :

  • Must provide high-level administrative support by conducting research, preparing statistical reports.
  • Perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls,
  • schedule meetings and organization / reconciliation of travel for Executives.
  • Knowledge of office administration and management; proper grammar, punctuation, and spelling; business
  • communications and ability to take notes is necessary; Maintain office supply inventory.
  • Manage confidentiality and proper filing of sensitive matters.
  • Answer and manage phone calls, screen and direct calls to the appropriate staff.
  • Perform special assignments, studies and routine administrative functions as specifically directed; Screen incoming correspondence, refer to appropriate staff, and follow up to assure timely response.
  • Perform related duties as required.

In addition, the candidate must possess and / or have the ability to :

  • Work individually and as part of a team.
  • Track and manage reporting projects without daily oversight.
  • Excellent verbal communication, writing, and interpersonal skills.
  • Strong project management skills, including experience managing multiple time-sensitive, complex projects.
  • simultaneously.
  • Detail-oriented with the ability to organize and prioritize tasks effectively in a fast-paced environment.
  • Proficiency with Microsoft 365, including working experience with Excel, WebEx, MS Teams and Zoom.
  • Manage various tasks as assigned.
  • Experience managing travel and other business expense reimbursement for senior staff including working in the
  • Statewide Financial System (SFS)

Miscellaneous Information :

  • Shift Days / Times : Monday to Friday, 9 : 00 AM to 5 : 00 PM.
  • Client does not provide parking, but the office is accessible by subway or bus.
  • Interviews will be conducted Online or In-person based on the availability.
  • Training will be provided.
