The Administrative Assistant will provide essential support in both administrative and accounting tasks, helping ensure efficient day-to-day operations.

This role involves managing general office tasks, handling data entry, assisting with accounts payable and receivable, and supporting other departments as needed.

The position is local to the Mobile / Eastern Shore area.

RESPONSIBILITES :

ADMINISTRATIVE SUPPORT :

  • Answer and direct phone calls, emails, and other inquiries with professionalism.
  • Assist with scheduling meetings, appointments, and maintaining office calendars.
  • Maintain organized filing systems.
  • Prepare reports, presentations, and correspondence as needed.
  • Provide general administrative support to the CEO

ACCOUNTING SUPPORT :

  • Perform data entry for accounts payable and accounts receivable.
  • Process invoices, receipts, and other financial documents.
  • Assist with account reconciliations and monthly closing processes.
  • Manage expense reporting.
  • Maintain and update financial records accurately and timely.
  • Communicate with customers regarding billing inquiries.
  • Assist in accounts receivable efforts.

QUALIFICATIONS :

  • Education : High school diploma or equivalent (Associate degree or coursework in accounting, business administration, or a related field is preferred).
  • Experience : 1-3 years in an administrative or accounting role is ideal.
  • Attributes : reliable, proactive, organized and able to maintain confidentiality with sensitive information.

SKILLS :

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with accounting software (QuickBooks, SAP, or similar is a plus).
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to multitask and prioritize effectively.
