Position Overview :

The Library Events and Outreach Coordinator plays a key role in planning, organizing, and executing community events that promote the library's mission.

Working closely with staff, vendors, and partners, the coordinator ensures events are inclusive, relevant, and reflective of the library's values.

Primary duties include reviewing program proposals, coordinating logistics, and working with the marketing team to promote events.

While the role involves occasional facilitation, the primary focus is on event planning and management.

This position also involves gathering and using program data to demonstrate the library's impact and elevating its profile within the community.

The anticipated schedule is Tuesday through Saturday, 9 : 00 AM - 6 : 00 PM, with occasional evening events.

Key Responsibilities :

  • Program and Event Development : Collaborate with staff to design events that align with the library's mission and engage diverse audiences.
  • Vendor and Partner Coordination : Manage relationships with vendors, speakers, and facilitators to ensure smooth event execution.
  • Logistics and Budget Management : Oversee event logistics, including venue selection, budgeting, and scheduling.
  • Marketing and Promotion : Work with the Marketing team to create promotional materials and event guides to attract participation.
  • On-Site Event Management : Supervise event setup, staff, and volunteers to ensure successful events.

Upcoming Projects :

  • Hillsboro Reads (March 2025) : A community-wide reading program featuring an author event.
  • Programming in the Collaboratory : A hands-on workshop series in the library's makerspace.
  • Hillsboro School District Partnership : Expanding the use of library resources for students and educators.

The ideal candidate will be creative, organized, and experienced in community engagement. You should possess :

  • Communication & Interpersonal Skills : Ability to work effectively with diverse community members, vendors, and staff.
  • Project Management & Leadership : Experience leading multiple events and coordinating teams to ensure success.
  • Budget & Resource Management : Proficiency in managing budgets and logistics.
  • Adaptability & Problem-Solving : Flexibility to handle competing priorities and challenges.
  • Commitment to Diversity & Inclusion : An understanding of creating accessible, inclusive events for all.

Acceptable Experience and Training

Bachelor's degree in public relations, Communications, Social Services, or a closely related field; and three years' experience working with a diverse population, including one year of program and project planning experience;

or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

LICENSING / CERTIFICATIONS :

Valid Driver's License and safe driving record

Preferred Qualifications :

  • Experience in large-scale community event planning .
  • Proven ability to manage teams or volunteers.
  • Knowledge or experience working with libraries or community-focused organizations.
