Position Overview : The HR Specialist is a key member of Ohana's HR team, responsible for the recruitment, hiring, onboarding, and compliance of staff across all Ohana entities.
This position reports directly to the HR Director and collaborates closely with various departments to ensure that all processes are efficient, compliant, and aligned with Ohana's mission of providing dignity
and hope to all.
Primary Responsibilities
Recruitment :
- Develop and implement strategies to increase the number of qualified applications primarily for Direct Care Worker positions.
- Post and manage job descriptions across various hiring platforms.
- Act as the first point of contact for potential new hires, providing a welcoming environment and guiding them through the application process.
- Conduct in-person interviews and assess qualifications in alignment with Ohana's Core Values.
Onboarding :
- Oversee the onboarding process for new hires within the ADP system, ensuring timely completion of all necessary paperwork and training.
- Create efficient onboarding systems to reduce time from hire to first paycheck while ensuring compliance with state and federal regulations.
- Coordinate initial background checks and maintain compliance with all required training documentation.
- Facilitate Ohana's New Hire Orientation and ensure new staff are informed about policies, procedures, and their roles within the organization.
Compliance :
- Maintain and audit staff files to ensure compliance with mandatory training, certifications, and state licensing requirements.
- Track and document ongoing training hours, and ensure staff meet necessary training obligations.
- Regularly communicate with Program Managers and Directors about staffing needs, training status, and compliance issues.
- Stay updated on employment laws, regulations, and best practices to maintain organizational compliance and report on the status of employee background clearances.
Additional Responsibilities :
- Maintain confidentiality and adhere to Ohana's Core Values
- Updates weekly KPI tracker specific to staffing.
- Assist HR Director with other HR functions as assigned, including payroll inquiries and managing employee status changes within ADP.
- Participate in required meetings, training, and leadership development opportunities to enhance HR practices within Ohana.
Qualifications :
- Proven experience in HR recruitment and onboarding processes.
- Strong knowledge of compliance regulations related to human resources and employee training.
- Excellent organizational skills with the ability to manage multiple tasks and projects simultaneously.
- Ability to communicate effectively and build relationships with staff at all levels.
