Our client, a UHNW Family, is seeking a new Estate Manager to join their team in a leadership position. This is an incredible opportunity for a professional with a focus on facilities and maintenance to utilize their skills in a role that provides hands-on operational leadership.
The right individual has a deep knowledge of vendor management, construction oversight, maintenance as well as pre-planning and preventative projects.
You will be responsible for setting up programs for the estate year-round and create plans that ensure full functioning and order for the estate.
We need a true organizational pro that is fluent in acting as a main point of contact for staff at the estate and will be able to ensure conditions for the owners are ready to go at all times.
You will oversee all building operations and develop response plans as well as be directly responsible for vendor management and selection.
Key Responsibilities :
Operational Leadership
- Maintenance Planning : Develop comprehensive preventive maintenance schedules and establish a Facility Maintenance Master Plan to address both immediate and long-term needs, ensuring all systems function optimally.
- Safety and Emergency Protocols : Collaborate with the Estate Manager and other higher level Estate Staff including Head of Security to create and implement safety protocols and emergency response plans, training staff on necessary procedures and equipment.
- Documentation Management : Organize and maintain a thorough record of all maintenance-related documents, including warranties, project schedules, and vendor contracts, ensuring smooth operational flow.
Service Delivery and Coordination
- Service Excellence : Guarantee that the residences remain in pristine, "owner-ready" condition, preparing efficiently for the arrival of Principals, family, and guests to deliver an exceptional experience.
- Vendor Relationships : Cultivate strong partnerships with service providers and suppliers to negotiate favorable pricing and uphold high service standards.
- Operational Communication : Act as the primary liaison for all facilities-related projects, ensuring that information flows effectively among team members and keeping the EM informed about ongoing operations and developments.
Maintenance Oversight
- Comprehensive Facilities Management : Supervise all aspects of building operations, including systems, protocols, and personnel, while coordinating necessary maintenance tasks and diagnosing issues promptly.
- Preventive Maintenance Leadership : Initiate and oversee preventive maintenance programs for equipment and property systems, developing action plans for various scenarios to mitigate disruptions.
Project Management
- Scope, Timeline, and Budget Management : Define project objectives, establish timelines, and manage budgets to ensure successful completion of all maintenance initiatives.
- Coordination and Communication : Facilitate project coordination and maintain open lines of communication among all involved parties.
Financial and Administrative Responsibilities
- Annual Budgeting : Participate in the formulation and oversight of the facilities budget, ensuring alignment with operational needs.
- Expense Control : Monitor and manage expenditures related to maintenance and facilities operations.
- Contract Administration : Review and oversee vendor contracts to ensure compliance and optimal performance.

Salary Range is Dependent on Experience : $130,000-$145,000 annually with full comprehensive benefits.
This position requires you to be onsite 5x a week in West Los Angeles.
