The Administrative Project Manager will conduct multi-level, cross functional planning while implementing solutions and spearheading special projects as approved.
Working closely with the CEO, this shared position will also collaborate with other Chief Officers, fellow Directors, and the People & Culture team.
This position will ensure clear and streamlined processes are in place throughout administrative departments focusing on the resource roles that recruit, train and educate our employees as well as effectively support and cultivate our donors and stakeholders.
The Administrative Project Manager must be comfortable leading through others who do not necessarily report to them while building consensus and driving teamwork across multiple departments.
Strong project planning skills with a detailed and focused approach to operational efficiency is a must. Projects will consist of transforming current processes along with the expansion of new programs in order to help us further our mission to rescue, rehabilitate and rehome animals in crisis, ensure healthy pets through education, advocacy and affordable services, and inspire a community where the animal-human bond is celebrated and nurtured.
Essential Functions :
- Manage, maintain and provide direction and successful completion for a portfolio of special projects assigned by the CEO and other Chief Officers to ensure that organizational goals are met.
- Oversee management and communication of monthly staff roundtables and prepare recommendations for quarterly All Staff Trainings.
- Support the research and submission of grant applications to local and state government opportunities; maintain contact and complete necessary follow-up reports and communication.
- Build relationships with key vendors and oversee management of services.
- Establish systems and processes to ensure effective organization-wide workflow processes focusing on the use of technology and data sharing.
- Draft schedules for implementation of long-range plans and proposals.
- Monitor project progress, draft and distribute periodic progress reports and strategic recommendations for leadership and stakeholders.
- Through collaboration with appropriate leadership, prepare written and statistical reports including grant tracking, net activity / cash-flow forecasting models, and Capacity for Care models.
- Perform periodic review of contracts and vendor relationships to ensure competitive and efficient service performance.
- Perform risk management and quality assurance activities to ensure integrity and continuity of programs.
- Evaluate and negotiate alternative service and product providers and identify when interdepartmental collaboration may lead to joint contracts and greater volume discounts.
- Develop and lead ad hoc committee of community professionals to serve as advisors on specific projects and operational process development.
- Administratively manage and encourage engagement of the organization's Sustainability Committee.
- Further the commitment toward a more sustainable and environmentally conscious campus providing immediate and / or future cost savings.
- Special short- and long-range administrative projects as assigned.
- Support with fundraising and logistics of our annual gala Black Tie & Tails.
- Other duties as assigned.
Requirements
Qualifications and Experience :
- Bachelor's degree in Economics, Business Administration, or related field required; MBA preferred.
- At least five years of related experience required, with management experience preferred
- Demonstrated track record of successful financial modeling and project management
