Responsibilities and Duties :

  • Answer and direct calls to the appropriate people using a 12 line phone system with a pleasant and professional demeanor.
  • Greet walk in traffic at front door.
  • Perform administrative functions for the Administration department, Human Resources, & President of Stein Distributing.
  • Open Office Process : Unlock Front Door and Filing Cabinets, turn on phone system, check voice mail messages (forward if necessary)
  • End of Day Process : Lock up front door and filing cabinets, put phones on night mode, and make sure everything is put away for the night).
  • Greet walk-in visitors.
  • Process Stein Accounts Payable
  • Excel Data Entry (Ex. Excise Tax & Update Company Phone List)
  • Maintain Company Phone System through Datatel
  • Prepare & Process visa statements for all Stein Managers.
  • Create, Maintain, & distribute the Monthly outlook Calendar for Department Heads.
  • Beer Ads Mon. / Wed. cut, paste, copy / Tracking and measuring for KAM PFP
  • Open and forward faxes
  • Create Special Envelopes
  • Applications copy and distribute
  • Order and monitor approvals for office supplies as well as code monthly expenses for office supplies to appropriate departments and distribute supplies.
  • Order and proof business cards
  • Order name tags
  • Track and distribute sports & venue tickets, update events list, and report ticket use weekly
  • Typing memos, letters, and business correspondence for Stein Distributing Company.
  • 25% - Admin Assistant to the President
  • Backup Sales Window
  • Complete daily route settlement when necessary.
  • Update expense binders for Sales Supervisors Monthly
  • Insure deadlines are meant
  • Miscellaneous projects as assigned.

Qualifications

  • Education :
  • High School Diploma.
  • Experience / Requirements :
  • Computer Literate (Excel, Word, Acrobat Reader, Microsoft Exchange Office)
  • Prepare and edit business correspondence.
  • Possess very good phone etiquette.
  • Have good attendance and performance record.
  • Have professional appearance and demeanor
  • Reliable transportation to and from work
