Administrative Assistant – Operations - $18+ / hr

This is a contract position with the opportunity to work full-time.

Location : Katy, TX

Pay Rate : $18+ / hour

Schedule : Monday thru Friday 8am to 5pm

Administrative Assistant – Operations Summary :

We are seeking a detail-oriented Administrative Assistant – Operations to support the Operations Manager and assist other departments as needed. This role requires both administrative expertise and light accounting experience, such as handling invoices, expense reports, and financial recordkeeping. The ideal candidate will deliver clerical and operational support with professionalism, efficiency, and a proactive approach, ensuring the highest level of accuracy and quality.

Administrative Assistant – Operations Responsibilities :

  • Provide comprehensive administrative support to assigned managers, including word processing, filing, photocopying, correspondence, telephone coverage, mail handling, appointment scheduling, and greeting visitors
  • Prepare, compile, and distribute weekly departmental reports
  • Deliver professional customer service when communicating with clients
  • Maintain and organize departmental files while ensuring strict confidentiality
  • Draft, edit, and manage correspondence as assigned
  • Manage departmental calendars and maintain accurate contact information
  • Coordinate travel arrangements, including transportation and hotel accommodations, as needed
  • Schedule and support departmental meetings, including planning, preparation, and follow-up tasks
  • Provide backup coverage and support across the division in the absence of other administrative staff
  • Collaborate with other administrative professionals to ensure consistent departmental coverage
  • Assist in maintaining office organization, including shared spaces such as the kitchen, copy room, and mail areas
  • Support light accounting tasks such as processing invoices, coding expenses, and assisting with accounts payable / receivable documentation
  • Adhere to assigned work hours to ensure reliable administrative support
  • Perform additional duties as assigned; responsibilities are not limited to the tasks outlined above

Administrative Assistant – Operations Qualifications :

  • Minimum of 2–3 years of experience in administrative support, office secretarial duties, or logistics support
  • Light accounting experience required (invoicing, expense tracking, or accounts payable / receivable support)
  • High school diploma or equivalent (GED) required; additional coursework in business or accounting a plus
  • Strong proficiency in written and spoken English
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential; experience with QuickBooks or similar accounting software a plus
  • Ability to manage multiple tasks and priorities for several managers while meeting deadlines
  • Excellent organizational, analytical, interpersonal, and communication skills, both written and verbal
  • Demonstrated ability to balance and support the needs of multiple managers effectively
  • Proactive, resourceful, and positive attitude with a focus on problem-solving
  • Strong ability to interact professionally and effectively at all organizational levels
  • Self-motivated, detail-oriented, and efficient in completing assignments and projects accurately and on time
  • Must have reliable transportation
