- About the Role
The Administrative Assistant role is a key member of our facility team, responsible for ensuring smooth day-to-day operations through efficient administrative, payroll, and compliance support. This individual will serve as the primary point of contact for employee data management, timekeeping, benefits coordination, and general office support, while also assisting in compliance and reporting functions.
- Qualifications
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- 2+ years of administrative or HR / payroll experience preferred.
- Knowledge of payroll, timekeeping systems, and basic accounting practices.
- Familiarity with OSHA, HACCP, and food safety guidelines is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational, communication, and problem-solving skills.
- Responsibilities
- Register all new hires according to company policies, including food safety requirements (HACCP), and submit documentation to Human Resources.
- Responsible for all timekeeper duties including review of timecards for accuracy, maintenance of time clock and employee database, complete payroll report for location and submit to payroll on Fridays.
- Manage all workman’s comp claims as outlined in company policies in compliance with OSHA regulations. Coordinate all paperwork for accidents and incidents, including all disciplinary issues.
- Coordinate employee benefits issues with Human Resources.
- Maintain all employee data for this location. Interface with Payroll and Human Resources as needed.
- Perform general office duties, directing calls to appropriate personnel, filing, typing, faxing, maintaining office records, and purchase orders.
- Some shipping / receiving activities.
- Assist with proofing sales orders against price sheets on a daily basis.
- Maintain HACCP paperwork and notify General Manager of discrepancies to resolve issues quickly.
- Maintain petty cash and process weekly reconciliation of cash sales and other receipts.
- Other projects and duties as assigned.
