Position Overview
As the Executive Personal Assistant, you will provide high-level administrative and personal support to the Company President ensuring smooth day-to-day operations. You will act as a trusted gatekeeper, managing communications, travel, scheduling, and special projects with a high degree of professionalism, discretion, and autonomy. The ideal candidate is detail-oriented, proactive, and able to manage multiple priorities with discretion and efficiency.
Key Responsibilities
- Manage and maintain schedules, appointments, and meetings
- Coordinate travel arrangements, including flights, accommodations, passports / visas, and itineraries
- Screen and manage incoming communications (calls, emails, mail)
- Prepare reports, presentations, and confidential documents
- Assist with personal tasks and errands as needed (e.g., reservations, gift purchasing, family coordination)
- Plan and execute events, meetings, and offsites
- Anticipate executives needs and proactively resolve issues
- Handle expense reporting and basic bookkeeping
- Assist with document preparation, email management, and data entry
- Organize files, records, and correspondence (both physical and digital)
- Run occasional personal errands and assist with household / vendor coordination
- Liaise with internal departments and external vendors on behalf of the executive
- Prioritize tasks and follow up to ensure timely completion
- Maintain strict confidentiality at all times
