International financial institution is seeking an experienced and highly organized Executive Assistant to support their CEO in a dynamic and fast-paced environment. This role involves providing top-notch administrative support, managing travel and expenses, coordinating meetings and events, and facilitating effective communication within our organization and with external stakeholders.
The position is exempt with bonus eligible.
Responsibilities :
- Assist the CEO in various secretarial duties to ensure smooth day-to-day operations.
- Responsible for managing travel arrangements and expense reports for the CEO and senior management team.
- Efficiently coordinate meetings, lunches, and dinners, including those with clients and guests, to ensure successful interactions and outcomes.
- Maintain clear and effective communication with group companies in the US and our Tokyo Head Office, ensuring seamless collaboration.
- Answer and manage incoming phone calls with professionalism and courtesy.

Requirements
3-5 years of administrative experience supporting senior-level professionals, preferably in a bank or financial institution.Proficiency in both English and Japanese, both written and spoken, is essential to communicate effectively with our global teams.Well-presented with strong communication skills, maintaining a professional demeanor at all times.Highly organized with meticulous attention to detail, capable of juggling multiple tasks and priorities in a fast-paced environment.Ability to prioritize and work efficiently under time-sensitive conditions.Familiarity with MS Office applications, including Outlook, Word, PowerPoint, and Excel.Benefits : Good benefit package.
